This Privacy Policy explains how SyncRFM ("we", "us", "our") collects, uses, discloses, and protects information when you use the SyncRFM website and application (the "Service"). We are committed to protecting your privacy and the data of your contacts.
1. Information We Collect
We collect the following categories of information:
- Account information: name, email address, and billing details you provide when signing up.
- Keap connection data: OAuth tokens, and, if you choose to provide them, your Keap Service Account Key or app credentials, which we store encrypted.
- CRM data: contacts, orders, custom fields, and tags imported from your connected Keap account, used to compute RFM scores and apply segments.
- Usage and technical data: log data, device and browser information, and cookies used to operate and secure the Service.
2. How We Use Information
We use information to: provide and maintain the Service; import orders and compute RFM matrices; write scores back to Keap custom fields and apply segment tags; process payments; communicate with you about your account; provide support; and improve and secure the Service.
3. Legal Bases for Processing
Where applicable law (such as the GDPR) requires it, we process personal data on the basis of contract performance (to deliver the Service), legitimate interests (to operate and improve the Service), consent (where requested), and legal obligations.
4. Data Sharing & Disclosure
We do not sell your data. We share information only with: Keap, to provide the integration you request; service providers (such as hosting and payment processors) acting on our behalf under appropriate confidentiality obligations; and authorities where required by law. As a data processor for your CRM data, we act on your documented instructions.
5. Data Retention
We retain account and CRM data for as long as your account is active or as needed to provide the Service. When you delete your account or revoke access, we delete or anonymize associated personal data within a reasonable period, except where retention is required by law.
6. Security
We use industry-standard safeguards to protect your data, including encryption in transit and at rest, tenant isolation, and access controls. Credentials such as Keap keys are encrypted. No method of transmission or storage is 100% secure, but we work to protect your information.
7. International Transfers
Your information may be processed in countries other than your own. Where we transfer personal data internationally, we use appropriate safeguards consistent with applicable data protection laws.
8. Your Rights
Depending on your location, you may have the right to access, correct, delete, or port your personal data, to object to or restrict certain processing, and to withdraw consent. You can exercise many of these rights directly in the app or by contacting us. You may also revoke SyncRFM's access from Keap at any time.
9. Cookies
We use essential cookies to operate the Service and may use analytics cookies to understand usage. You can control cookies through your browser settings; disabling some cookies may affect functionality.
10. Children's Privacy
The Service is not directed to children under 18, and we do not knowingly collect personal data from them.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date and, where appropriate, notify you of material changes.
